Registration Data
Planet Reg offers a number of ways for you to keep track of bookings / registrations.
EMAILED CONFIRMATIONS
Initially when you set-up a booking form, you have a choice to include a hidden "BCC" email address, so that when a customer completes a booking, not only will they get a confirmation email, but you as the event organiser can receive a duplicate in real time.
CONSOLE VIEW
Sometimes, our Planet Reg members don't want their Inbox filling with individual confirmations (particularly for large events), so they choose instead to simply log in to their Management Console to see the live registration reports.
You first see a Quick Preview mode simply showing how many people are registered and what money has transacted.
In the left column, click on QUICK ROSTER - to see a quick view list of the people who have registered. If you see an 'Active' message, it means their payment has transacted also. If you see a 'Hold' message, it flags the customer completed a booking, but their payment did not transact for some reason. You could choose to phone them to encourage they complete the payment over the phone with you.
FULL DATA DOWNLOAD
Scrolling to the bottom of the QUICK ROSTER page, there is a data download option. This gives you a detailed CSV file (comma separated values) that opens efficiently in Microsoft Excel.
CSV files for each of your events update progressively as a new person registers. Download them as often as you need to keep track of the most recent registrations.
Each question asked of a customer on your booking form, will correspond to a separate column in Excel.
FOR EXAMPLE : If you have a chef needing to see Dietary Requirements / Allergies ... they can sort the entire data by the ALLERGIES column to quickly group together any registrants with special needs.
FOR EXAMPLE : If you need to track Merchandise orders, e.g. how many RED SATCHELS have been ordered, you can sort the data by that specific column.
REGISTRANT ONLINE LOOK-UP
There are also other ways to swiftly explore registration data in your 'Manage' console.
FOR EXAMPLE : You may have hundreds of registrants active, when someone in your team or an individual registrant queries a specific item entered in the booking form.
You can use "Lookup Attendee", e.g. name, company, telephone number, email and so on, to swiftly locate the specific booking, view the full confirmation on screen and even update the data if necessary.
That same confirmation can be forwarded privately to any of your team if needed or to the registrant themselves, if they happen to have lost their original confirmation. Simply click the RESEND button to immediately dispatch a fresh copies.
REPORT BUILDER
Also within your "Manage" Console for each individual booking form, is an option to run reports on specific topics. Reports tap into your CSV file and extract just the specific data you need at any given point. This report builder updates on an ongoing basis as new people register. So you can run reports as often as necessary.
The report options are too numerous to list here. But we're happy to run you through how to maximise use of the system. It's so simple, in fact, that most of our clients train themselves!

HISTORICAL DATA
All Planet Reg customers - even those who used our system as My Booking Manager over the past 15+ years, can access the data from any booking they've received since activating their membership.
When an event is complete, you can choose to "Archive" forms to simplify the onscreen list, but the data will remain accessible in the archive folder.
EXAMPLE : Customers such as Training Providers, appreciate the ability to look back and find which of their customers have attended past training days, particularly if a certain training module has evolved to become mandatory professional training.
TIP : Historical data can be valuable for future marketing. It gives easy access to email addresses and phone numbers for past registrants, to recontact them to encourage them to attend your next event!
